Privacy Policy

What we hold, and what the forms do

A plain account of browsing, email, studio letters, and the records a home improvement project actually needs.

Introduction

This privacy policy explains how Havenfield handles personal information when you use bestteleprompter.com, when you email the studio, and when you become a client of a home improvement project. It is written in plain language because a policy that only a lawyer can parse does not help a household decide what to share.

Havenfield plans and builds home improvements. The information we need is usually ordinary: a name, an email address, the rooms you want to change, and later the practical details of a house. We do not want information we cannot use well, and we do not sell personal information.

If you only read the pages and do not write to us, we do not ask you to create an account, and the forms do not quietly send what you type to a server. The sections below separate browsing, forms, email, and project work so you can see which one applies to you.

Who this policy is about

This policy is about people who visit the website, people who send an enquiry, people who ask to receive or stop studio letters, and people whose homes we improve. It also covers a person you name as a decision-maker on a project, such as a partner who will approve finishes.

It does not describe the privacy practices of sharing services linked from the footer, of material makers, or of a browser plug-in you have installed yourself. Those parties have their own policies.

“Personal information” here means information that identifies you or could reasonably be linked to you, such as your name, email address, the fact that you asked about a kitchen, or a photograph of a room that shows your belongings in an identifying way.

Information you may choose to give

If you email hello@bestteleprompter.com you choose what the message contains. A useful project email often includes your name, your email address, a description of the rooms, and sometimes photographs. Please send only what the question needs. Crop photographs so they do not show documents, faces of people who have not agreed, or details you would not want stored in a project thread.

Do not send payment card numbers, bank passwords, government identity numbers, or health files. A home improvement enquiry does not need them. If a message arrives with that kind of data by mistake, we will delete the attachment or the relevant lines when we see them and ask you to resend a cleaner note.

If you write on behalf of someone else, tell us, and send only the details that person has allowed you to share. A surprise enquiry in another adult’s name is not something we want to keep.

Forms on this website

The contact, subscribe, and unsubscribe pages contain forms. Those forms check that the fields are complete and that an email address looks properly formed. The check happens in your browser. When the check passes, the page shows a confirmation message. The form does not transmit the entries to a Havenfield server, because these pages are static and have no form backend.

That means a confirmation on the page is not, by itself, proof that a project lead has received your note. To reach the studio, email hello@bestteleprompter.com. We would rather be plain about this than pretend a browser message is a delivery receipt.

Because the forms do not send data onward, we do not receive a copy of what you typed unless you also email us or unless your own browser or an extension you installed keeps a local history. Your browser’s autofill and history are controlled by you and by your browser maker, not by Havenfield.

Please still avoid typing secrets into the forms. A shared computer, a screen recorder, or a browser extension can see what you type even when our pages do not store it.

Email correspondence

When you email the studio, we use the message to understand the request and to reply. Project emails may be read by the client partner, the design lead, and the site lead who need them to do the work. We do not copy an enquiry to people outside that group for marketing.

Email is kept long enough to carry the conversation and, if a project proceeds, long enough to match the records the project agreement requires. A casual question that does not become a project is not kept as a permanent marketing profile. We delete or archive threads that no longer have a purpose, on a cycle that respects any record we are actually required to hold.

Please do not assume an email has been read outside studio days. The footer and contact page say that letters are read Monday to Friday. An automatic bounce or a silence of a few working days is a reason to write again, not a reason to resend payment details.

Studio letters

If you ask by email to receive occasional Havenfield letters, we will use your email address for that purpose only: notes about materials, planning, and finished work, sent infrequently. Each letter will tell you how to stop them. You may also use the unsubscribe page as a reminder of the step, and then email us the same request so a person actually removes the address. The on-page form, as explained above, confirms locally and does not itself update a list.

We do not buy email lists. We do not add you because you asked a one-time project question. A project reply and a studio letter are different things, and one does not sign you up for the other.

If a letter is unwanted, say so. We would rather lose a reader than annoy a household. After you unsubscribe, we may keep a brief note of the request itself so we do not add you again by mistake.

Project information

If an enquiry becomes a project, we keep the information the work needs: names of the decision-makers, email addresses, the scope, selections, change notes, photographs of existing conditions, and photographs of the finished rooms. This record protects both sides. It shows what was approved, what changed, and how a surface was left.

We ask for access details only when a visit or a workday requires them, and we share them only with the people who need to enter the home for that purpose. A gate code is not a curiosity and it is not a marketing fact.

Photographs of the work may be kept in the project file even when they are not published. Published photographs follow the rule in our Terms & Services: we do not attach your name unless you agree, and we will avoid personal items you ask us to leave out of frame.

How we use information

We use personal information to reply to you, to prepare a proposal, to carry out a project you have approved, to keep the records that project needs, to send letters you asked for, and to improve the clarity of this website when a message shows that a page is confusing.

We do not use project information to build a score about you, to advertise third-party products, or to make automated decisions that produce a legal effect. A planning range on the pricing page is a published explanation, not a judgment generated from your data.

We may use anonymous notes about the website, such as a count of visits if the host provides one, to see which pages are read. Those notes are useful only as totals. We do not try to identify a reader from them.

Sharing

We do not sell personal information. We do not trade email addresses with other remodelers, list brokers, or advertisers.

We share project details with the makers and trades who must see them to do their part of an approved project. A cabinet maker may need a measurement and a contact for a site question. They receive what that task needs, not the whole of your correspondence.

We may share information if the law requires it, or if it is necessary to protect a person from serious harm, or to respond to a valid request from a competent authority. We will ask the authority to limit the request to what is actually needed, where we are free to ask.

If the studio were ever to reorganize, a successor that continues the projects would receive the project files so the work and the warranties of workmanship do not become homeless. A successor would be bound to use those files for the projects, not as a list to rent out.

Keeping information

Enquiry emails that do not become a project are kept only while the conversation is active and for a short period afterward in case you write back about the same rooms. Project records are kept for the life of the project and for a reasonable period after completion so we can answer a question about what was installed.

Studio-letter addresses are kept while you wish to receive letters and, as a suppression note, after you stop, so we do not write again in error.

We do not keep a form database from this website, because the forms do not create one. If that ever changes, this policy will change first, and the form itself will say where the note goes.

Security

We take ordinary care with email and project files: access is limited to the people doing the work, devices used for the studio are locked, and we do not leave a project folder in a place a visitor can browse. No method of sending email is perfect. Do not use email for secrets, and do not ask us to.

You are responsible for the security of your own inbox and devices. If you share a mailbox with other people, remember that a project thread may describe your home in detail. Use an address you are comfortable with.

If we learn of a breach that affects project information we hold, we will tell the people affected in a practical way and without theatre, including what happened, what we are doing, and what you may want to do.

Your choices

You may ask what project information we hold about you, ask for a correction, or ask us to delete an enquiry that did not become a project. Write to hello@bestteleprompter.com with the address you used and the nature of the request. We may need to confirm that we are writing to the right person before we send a file or delete a thread.

Some records cannot be deleted on request because they are part of a signed project, a payment record, or a note we must keep to show what was agreed. Where that is so, we will tell you what we still hold and why, and we will limit it to that purpose.

You may object to studio letters at any time. Stopping letters does not stop a project email you still need, and ending a project email thread does not by itself remove records the agreement requires.

If a privacy law where you live gives you a right this page has not named, write to us and describe it. We will not make you quote a statute number in order to be heard. We will also not pretend to offer a right that does not apply to a simple studio email, and we will say so plainly if that is the case.

Children

Havenfield’s website and services are meant for adults planning work on a home. We do not knowingly collect personal information from children. If you believe a child has emailed us, write to hello@bestteleprompter.com and we will delete the message.

Photographs of a finished room should not feature children. If a photograph you send includes a child, we will not publish it, and we will ask you for a version that does not.

Links and shared buttons

The footer offers links that open a share dialog on other websites, using the public address of bestteleprompter.com. If you complete a share, you are dealing with that other website. We do not receive your social account details through those buttons.

Pages may mention materials or methods and, where useful, point to a maker’s public information. Following that link leaves our site. Read the other site’s policy if you intend to give them information.

Where notes are handled

Studio email is read by the Havenfield team. If you write from another region, your message is still handled as studio correspondence. We do not claim that a message never passes through the ordinary infrastructure of an email provider. Those providers have their own terms.

We do not use this policy to describe a network of international offices. There is one studio correspondence path: hello@bestteleprompter.com.

Changes to this policy

We will update this policy when our practices change, especially if the website ever gains a real form backend or a letter system that stores addresses. The revised policy will be posted on this page. If a change affects a project already underway in a material way, we will also mention it in the project thread.

Continuing to browse after an update is your choice. Sending a new enquiry after an update means the new policy applies to that enquiry. A signed project keeps the privacy commitments that were part of its own agreement where those commitments are more specific.

Contact about privacy

Privacy questions, correction requests, and deletion requests go to hello@bestteleprompter.com with the subject line “Privacy”. Please use the email address connected to the thread you are asking about. We reply by email. We do not publish a telephone number or a street address for privacy requests.

If you are asking about a current project, include the name on the proposal so we open the right file and do not mix two households. If you are asking only about the website, say which page you were using.

We would rather answer a careful question than have you wonder what a form did. If something on this page disagrees with what a screen showed you, tell us. The pages should match the way the studio actually behaves.
